Client onboarding solutions have been making their way to a lot of businesses in the past few years. We’re comparing GUIDEcx and Pipefy with the help of G2 research. Both platforms are a part of multiple categories, but the two categories they have in common are workflow management and client onboarding.
GUIDEcx specifically markets itself as a client onboarding solution. While on the other hand, Pipefy markets itself as a workflow management software.
The contrasting features of each cloud-based automated system pertain to general task management, project management, and external sharing capabilities. Here is what we learned.
Ratings
These ratings correlate with some of the badges received from G2. A score that GUIDEcx and Pipefy have in common are Meeting Requirements. Both companies do relatively well when it comes to meeting the requirements of customers. GUIDEcx is continuously on the left side while Pipefy is on the right.
Pipefy has slightly more reviewers than GUIDEcx, but GUIDEcx ranks higher for the majority of the category reviews.
Advantage: GUIDEcx
Features
There are two categories in features that GUIDEcx and Pipefy rank in: Setup and Management.
Setup is divided into four sections: Activities, Flows, Dependencies, and Notifications. Pipefy outranks GUIDEcx for Flows, but GUIDEcx outranks Pipefy in the rest.
Management is divided into three sections: Updates, Audit Trail, and Integration. GUIDEcx leads the category with Updates and Integration, but Pipefy does currently ranks better with their Audit Trail. However, GUIDEcx is planning to release new time-tracking and resource management features.
Although Pipefy may have more reviewers for their specific features, they don’t have enough reviews for features that align with GUIDEcx and vice versa.
Advantage: GUIDEcx
Reviewers’ Industry
One thing GUIDEcx and Pipefy differ in are the industries in which their reviewers hail from. A large portion of reviewers for both companies work in the computer software industry. After that, the majority categories between the two products don’t resemble each other.
Branded Differently
Both GUIDEcx and Pipefy offer a collaborative, comprehensive overview of client onboarding tasks, updates, calendar timelines, external sharing, general workflow status, and team member tasks. The automated platforms also provide easy stakeholder access to overall project management status.
Although the general onboarding functions are similar, GUIDEcx markets itself as a client onboarding solution. Whereas Pipefy positions itself as a workflow management software.
Integrations
Pipefy indicates it can integrate with 500-plus web applications. They have a search center on their website that makes it easy for customers to see if their existing applications are compliant with their product. GUIDEcx says it can integrate with 2,000-plus web applications. They go over their most popular integrations and direct everything else to Zapier. Both systems have Zapier and an Open API, so more integrations are always possible with both.
Advantage: GUIDEcx
Gantt and Agile Board Views
Both systems offer Gantt and Agile board views to better visualize the process of scheduling, managing, and monitoring specific tasks. These board views break down tasks on a project timeline that marks scheduled and completed work in phases on the project’s timeline.
Project managers can also customize the Kanban board to easily navigate between personal work, team tasks, and control field-level permissions to prevent overloading the customer with redundant internal team tasks.
The major difference between the views is that Pipefy doesn’t show as much data in their task card compared to GUIDEcx. GUIDEcx shows if there are attachments, notes, a checklist, and more.
Time Tracking
Pipefy offers a time management template that helps users identify what needs to be prioritized. The template also helps evaluate performance by allowing you to see how many tasks were delayed, how many were completed on time, etc.
GUIDEcx offers the same thing, but is also working on Time Tracking and Resource Management features. Time Tracking will allow for more optimization and automation. The software will evaluate task and milestone data and predict future end-dates. The Resource Management feature will allow for accurate billing to those who are completing billable tasks. It will also help project managers identify the right person with the right skills for the right task at the right time. The features are expected to be released in early August 2021.
GUIDEcx and Pipefy also allow for overall financial estimations per project.
Pricing, Free Trials and Demos
GUIDEcx offers a demo and a 14-day free trial. For additional pricing information, they encourage you to talk with their sales team. They have three pricing packages: Professional, Premium, and Enterprise.

External Sharing
A login is not required for GUIDEcx users, and stakeholders can use the self-service portal to access and update tasks. A key time-saving feature on the GUIDEcx platform allows the project manager to check on task status or alert the team of new tasks by using email, the mobile app, and desktop. GUIDEcx also allows for third-parties to be involved in projects for free.
GUIDEcx also has internal-only features and public features. This helps customers not get as confused and get a project view that’s customized for them.
GUIDEcx is also releasing a Secure Links feature that won’t require users to login or even register for the software. The software sends a temporary, secure link for the project to their email that’s as secure as the user’s email account. If the user wants to create an account later, they can easily do so.
Another unique GUIDEcx feature is the white list domain for emails and a white-labeled customer portal. The GUIDEcx developers recognize that your new client wants to do business with YOU. By adding your logo to the project overview board and email correspondence, your customers won’t get lost in the brand shuffle.
